Data Privacy

Go Nimbly uses Ashby, an application developed by Ashby, Inc., Zoom, an application developed by Zoom Communications, Inc., and Gong, an application developed by Gong.io Inc., as part of our selection process. Ashby, Zoom, and Gong, acting as a Data Processors, processes all personal data at our request and based on our instructions.

What Personal Data We Collect We may collect and process the following categories of personal data:

  • Identification and contact details (e.g., name, email, phone number, address)
  • CVs, cover letters, and employment history
  • Education and professional qualifications
  • References and background check information (if applicable)
  • Audio and visual information
  • Interview notes and assessments
  • Internet and network information, such as IP addresses
  • Any other information you provide voluntarily

How We Collect Personal Data We collect personal data:

  • Directly from you when you apply for a position
  • From communications from you during the recruitment process

  • Communication with you about your application (e-mails, phone calls, SMS messages, iMessage)

  • Fulfilling legal regulations
  • Improving our hiring processes and diversity initiatives

You may ask for the correction and update of your data at any time, deny your previous consent for the processing of your data, or fully delete your profile.

Data Access

The access to your personal records is limited to Go Nimbly employees who participate in the selection process, our listed data processors, and with legal authorities if required to comply with legal obligations.

Data Retention We will retain your personal data for as long as necessary for the recruitment process. If your application is unsuccessful and with your consent, we may retain your data for up to two years to consider you for future opportunities, unless you request its deletion sooner. If required by law, we may retain certain information for a longer period.

The data is stored within the United States, and access to it is secured with the highest level of technical standards and practices.

Updates to This Privacy Policy We may update this Privacy Policy periodically. Any changes will be posted on our website with an updated effective date.

The following is an explanation of our legal basis for processing your information. We collect and process your information where it is necessary in order to take steps, at your request, prior to potentially entering into a contract of employment with you.

We may also seek your consent to process your personal information in specific circumstances, or process it where necessary to comply with a legal obligation or for purposes connected to legal claims. If we use your information to improve our application or recruitment process, we do so on the basis that it is in our legitimate interests to ensure we recruit the best possible candidates.


For Applicants and Candidates under U.S. State data protection:

Some U.S. state privacy laws, such as the California Consumer Privacy Act (CCPA), require specific disclosures for state residents.

This policy is designed to help you understand how we handle your information. In the sections above, we explain: what personal data we collect; how we collect that data; the purpose for collecting that data; when we may disclose that data; and how we retain that data. We do not sell your personal data. We also do not “share” your personal data as that term is defined in the CCPA (i.e., “for cross-context behavioral advertising”).

For Applicants and Candidates who Opt-in to SMS/MMS Communications:

Go Nimbly may use SMS (text messaging) to communicate with consenting applicants and candidates regarding roles they have applied for, job opportunities, and hiring events that may be of interest.

Consent

Applicants and candidates will be asked explicitly to consent to SMS messaging when providing their phone number during the application process or through direct written communication with a Go Nimbly recruiting representative. If a candidate does not explicitly provide consent at the initial stage, Go Nimbly (via our third-party provider, Ashby) will send an initial text message requesting explicit consent to continue SMS communications.

Opting in

A mobile user might opt-in by:

  • Entering a mobile phone number online when applying for a position and confirming that they agree to receive SMS text messages, or
  • Providing verbal or written authorization to a Go Nimbly recruiting representative and then responding to a subsequent text message.

Opting out

Candidates may opt out of receiving SMS messages at any time by replying “STOP” to any message or by requesting to opt out to a Go Nimbly recruiting representative directly verbally or in writing.

Third-Party Providers

Go Nimbly uses Ashby as application tracking software, which utilizes Twilio, an application developed by Twilio Inc., for message delivery. Both Ashby and Twilio process SMS data in accordance with applicable privacy laws, including the California Consumer Privacy Act (CCPA).
